Membership Philosophy + INFO

Railyard Fitness is intentionally capped and not a high-volume gym. Our policies exist to protect space, access, coaching quality, recovery services, and the overall member experience. Clear boundaries allow us to deliver exceptional care consistently.

Membership Eligibility

Local Membership

Best for individuals who:

  • Live or work locally in Santa Fe

  • Plan to train consistently

  • Want long-term access to training and recovery services

Short-Term Access

Best for individuals who:

  • Visitors or seasonal residents

  • Non-locals

  • Those seeking occasional access without ongoing responsibility

Membership Eligibility

Local Membership
Designed for individuals who live or work in Santa Fe, (primary residence), and want consistent, long-term access to training and recovery services.

Short-Term Access
Designed for visitors, seasonal residents, or non-locals seeking limited or occasional access without an ongoing commitment.

Membership Types

Individual Membership

  • One adult

  • One account holder

  • One billing method

Couple Membership

  • Two partners (married or domestic partners)

  • One household

  • One account holder and billing method

Not valid for friends, siblings, roommates, or training partners.

Family Membership

  • Two partners (parents or legal guardians)

Family memberships do not include extended family members, guests, or friends.

Why this matters:
Each membership has one primary account holder who manages billing, freezes, and changes. If the account is frozen, the entire membership is frozen. Limiting family memberships to one nuclear household prevents access conflicts and billing issues.

  • Intended for occasional use only

  • Guests do not receive independent access

  • Subject to capacity

Children & Youth Access

  • Must be 16 to access the gym.

  • Under 16 requires working with a personal trainer.

Membership Freezes

  • Must be requested via email by the primary account holder

  • Apply to the entire membership (not individual members)

  • Require both a start date and an end date

  • Maximum of 3 consecutive months per freeze

  • Maximum of 6 total months per calendar year

  • No freezes under 7 consecutive days

Upgrades & Downgrades

  • May be requested as often as needed

  • Must be submitted by the primary account holder

  • Take effect on the next billing cycle only

  • No mid-cycle changes, prorating, or retroactive adjustments

  • Subject to availability and capacity

Billing

  • Monthly recurring billing

  • One payment method per membership

  • Primary account holder is financially responsible

  • Failed or declined payments may result in temporary access suspension

Cancellations & Rejoining

  • Cancellations follow the notice period outlined in the membership agreement

  • Rejoining within 1 year: joining fee is waived

  • Rejoining after 1 year: joining fee applies

  • All reactivations are subject to capacitySubject to capacity

Transfers & Credential Sharing

  • Memberships are non-transferable

  • Access credentials may not be shared

  • Misuse may result in suspension or cancellation

3D Body Scans

🔒 Outside Trainer Policy

(Personal Training & Coaching)

Personal Training Exclusivity

Railyard Fitness is a private, intentionally capped facility. To protect our members, staff, and business operations, only Railyard Fitness–approved trainers may provide coaching, instruction, or training within the facility.

This includes all forms of training, whether paid or unpaid.

What Is Not Permitted

Members and Visitors may not:

  • Train with outside personal trainers or coaches

  • Receive instruction from non-Railyard Fitness trainers

  • Use FaceTime, Zoom, phone calls, video recordings, or live streaming for coaching or instruction

  • Follow real-time programming or cues from an outside trainer while in the gym

  • Act as a trainer for another member

This applies regardless of whether money is exchanged.

What Is Permitted

Members and Visitors may:

  • Train independently

  • Follow pre-written programs they have purchased elsewhere (without live instruction or communication)

  • Work with Railyard Fitness trainers only, booked through approved channels

Why This Policy Exists

This policy is in place to:

  • Maintain safety standards and accountability

  • Protect member privacy and space

  • Ensure consistent coaching quality

  • Support the trainers who operate within our facility

  • Comply with insurance, liability, and operational requirements

Allowing outside trainers — even virtually — undermines these standards and creates liability and fairness issues.

Violations

  • First violation: verbal reminder and education

  • Continued violations: suspension of membership access

  • Repeated or intentional violations: cancellation of membership

No refunds will be issued for violations of this policy.

Pricing Transparency

All pricing is clearly listed. We believe you shouldn’t have to waste your time trying to determine whether Railyard Fitness is the right fit. Transparency allows members to make informed decisions confidently and respectfully.

Why We Don’t Make Exceptions

Policies exist to ensure fairness, clarity, and consistency. Exceptions create confusion, inequity, and operational challenges. Clear boundaries allow us to provide a better experience for everyone.

Our Standard:
Luxury • Clarity • Respect • Longevity • Professionalism
